Manage and organize client projects, ensuring timely completion of goals and deliverables Coordinate and schedule personal and business appointments, proactively monitoring calendars to prevent conflicts and optimize time management Conduct research on various topics such as events, travel arrangements, and projects, providing timely and accurate results to clients and team members Handle purchase specifications, expense reports, and organization of financial documentation in accordance with client expectations Perform administrative tasks including inbox management, calendar updates, transcription, business correspondence, and data entry Respond to and organize emails based on client guidelines, maintaining prompt communication and follow-up Assist with social media management and marketing activities as required Attend virtual meetings, prepare agendas, take minutes, and follow up on action items Maintain clear and continuous communication with clients and Account Supervisors regarding task status, needs, and deadlines Track billable hours accurately using the official time-tracking system and report weekly usage Provide support for additional tasks and client coverage as directed by the Account Supervisor Adhere to Zirtual’s best practices and quality standards to ensure client satisfaction Perform other duties as assigned to support client and company objectives

Requirements

Associate’s Degree, Bachelor’s Degree, or a minimum of 5 years experience as an Executive Assistant to C-level executives
Minimum of 4 years of administrative experience
Preferred experience working with C-level executives
Proficiency with Google Suite and Google Calendar, and fluency in Microsoft Office
Experience with task management tools such as Trello or Asana
Familiarity with communication platforms like Slack (preferred)
Experience with CRM platforms such as Salesforce, HubSpot, or Zoho (preferred)
Knowledge of expense reporting tools like QuickBooks or Expensify (preferred)
Experience with travel management software such as Concur (preferred)
Proficiency in social media management tools like Hootsuite and WordPress (preferred)
Experience with AI tools and automation technologies (preferred)
Reliable internet connection, computer, and phone
Typing speed of at least 50 WPM with high accuracy
Availability during PST or EST business hours, Monday through Friday
